How to set up services:

1.       Determine what type of insurance the client has. Contact any of the agencies above to verify the insurance will be accepted. It is the family’s responsibility to verify insurance information with the selected agency. The school is not responsible for insurance or payment concerns.

2.       Contact the school counselor to let her know what agency has been selected. The counselor will then submit a referral form to the selected agency.

3.       Obtain a Primary Care Physician referral for school based counseling. Submit this referral to the selected agency. The PCP referral is the responsibility of the family. The school is not responsible for the PCP referral.

4.       Once the selected agency has received the referral form from the school counselor and from the Primary Care Physician, the agency will contact the family to set up an initial assessment/intake interview. The family will be asked to meet with the intake specialist at the agency’s office. Setting up and attending the initial assessment/intake interview is the responsibility of the family. The school is not responsible for coordinating this appointment.

5.       After the initial assessment/intake interview has been conducted, the school based therapist for the agency will begin seeing the client at school during a time agreed upon by the client’s classroom teacher and school.

6.       As school based counseling services are conducted throughout the year, the family may be asked to follow up with the Primary Care Physician or the psychiatrist on staff at the agency. Such requests are often made to remain in compliance with Medicaid/ARKids regulations. It is the responsibility of the family to follow up in meeting these requests; otherwise, services may be discontinued if the client is considered to be out of compliance with insurance regulations. Please contact the agency with any questions you may have regarding this matter.
